About this opportunity
We are seeking a highly organized and detail-oriented Travel and Events Coordinator to manage all aspects of corporate travel and event planning. This role is responsible for coordinating logistics, ensuring seamless execution of events, and providing exceptional support to internal teams and external stakeholders.
Key Responsibilities
Plan, coordinate, and manage domestic and international travel arrangements, including flights. accommodations, transportation, and itineraries.
Organize and execute corporate events such as conferences, meetings, retreats, and client events.
Serve as the primary point of contact for vendors, venues, and travel partners.
Negotiate contracts and secure cost-effective rates for travel and event services.
Develop detailed event timelines, budgets, and logistics plans.
Ensure all travel and event activities comply with company policies and budgets.
Handle last-minute changes, cancellations, and travel disruptions efficiently.
Coordinate on-site event execution, including setup, registration, and troubleshooting.
Maintain accurate records of bookings, expenses, and vendor agreements.
Provide post-event reporting and analysis, including feedback and cost summaries.
Working Conditions
This is a full-time, office-based position in a modern, cozy environment in our Fort Lauderdale HQ.
Our standard working hours are Monday to Friday, 9:00 AM to 6:00 PM, promoting a healthy work-life balance.
Skills & Qualifications
Education: Bachelor’s degree in Hospitality, Event Management, Business Administration, or a related field (or equivalent experience).
2–5 years of experience in travel coordination, event planning, or a related role.
Strong organizational and time management skills with the ability to manage multiple priorities.
Proficiency with travel booking tools, event management software, and Microsoft Office (Excel, Word, Outlook).
Ability to negotiate effectively with vendors and manage budgets.
Strong attention to detail and problem-solving abilities.
Flexibility to work outside regular hours when required for events or travel support.
Customer-service mindset with a proactive and professional approach.
