About this opportunity
The HR & Onboarding Specialist is responsible for delivering a smooth, compliant, and engaging onboarding experience for new hires while also providing support across a wide range of HR functions. This role serves as a key point of contact for new employees from offer acceptance through their initial weeks of employment, ensuring onboarding steps are completed accurately, timely, and in alignment with company policies, culture, and compliance requirements. The HR & Onboarding Specialist partners closely with HR, Hiring Managers, IT, Payroll, and Facilities to support new hire readiness, employee recordkeeping, HR documentation, compliance efforts, employee communications, and general HR operations. This role also assists with ongoing HR initiatives, projects, and administrative responsibilities as needed to support the overall HR team.
Key Responsibilities
Support various HR initiatives and day-to-day HR operations as needed, gaining exposure to multiple areas of Human Resources.
Coordinate and manage the full onboarding process from offer acceptance through new hire integration.
Serve as the primary point of contact for new hires, ensuring a positive onboarding experience.
Prepare and process new hire paperwork, ensuring accuracy and compliance with company, state, and federal requirements.
Facilitate new hire orientation and introduction to company policies, benefits, and culture.
Partner with hiring managers to coordinate onboarding schedules, training plans, and role-specific requirements.
Coordinate with IT, Facilities, and other departments to ensure equipment, access, and workspaces are ready before start dates.
Maintain employee records and ensure accurate data entry within HRIS and related systems.
Support pre-employment activities, including background checks, drug screenings, and I-9 verification.
Track onboarding progress and ensure timely completion of all required documentation and tasks.
Maintain onboarding documentation, checklists, and processes to ensure consistency and compliance.
Identify opportunities to improve onboarding programs, processes, and employee experience.
Provide general HR administrative support, including employee file maintenance, employment verifications, status changes, and employee inquiries.
Assist with audits, compliance reviews, reporting, and other HR-related projects.
Collaborate with HR team members on special projects and perform other duties as assigned.
Location and Schedule
This is a full-time, office-based position in a modern, cozy environment in our Fort Lauderdale HQ.
Our standard working hours are Monday to Friday, 9:00 AM to 6:00 PM, promoting a healthy work-life balance.
Skills & Qualifications
Bachelor's degree in Human Resources, Business Administration, or related field preferred.
1-2 years of experience in HR, onboarding, recruiting coordination, or a related administrative role.
Experience with HRIS and onboarding systems preferred.
Knowledge of onboarding processes, employment compliance, and new hire documentation.
Strong communication, organizational, and time management skills.
Ability to manage multiple priorities in a fast-paced environment.
High level of professionalism and discretion when handling confidential information.
Proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
Strong problem-solving skills and ability to work collaboratively across departments.
